Receptionist / Administration Assistant

Role Description:
The Reception and Administration Assistant is responsible for managing front desk operations, including answering calls, handling mail, greeting visitors, and maintaining security protocols. They ensure meeting rooms are well-maintained, coordinate bookings, and manage catering orders. Additionally, they handle administrative tasks such as travel arrangements, purchase orders, and site maintenance. This role requires excellent organizational skills, attention to detail, and the ability to manage multiple tasks efficiently.
Responsibilities:
Reception
· Answer incoming calls promptly and in a friendly, professional manner and taking the appropriate action to easily transfer them in Dutch, French & English as necessary
· To sort and action all incoming mail
· To meet and greet all visitors make them welcome, offer tea/coffee
· Keep Reception and Meeting Room areas tidy
· Ensure security to the building is maintained by issuing all new staff with security passes and providing all visitors with a visitor’s pass and requesting them to sign Visitors Book. Photograph all new staff to provide photo ID security passes.
· To ensure that the meeting rooms are maintained to a high standard (where applicable),
· Fire Marshall for Meeting Rooms and Reception
· Order catering as required for meetings set up and clear away
· To receive and dispatch all goods via couriers
· Arrange taxis
Administration
· Administration of CliniSys Travel adhering to company travel policy
· Preparation and issue of any purchase orders following ISO purchasing procedure
· To assist with managing the maintenance of the site.

Required Experience & Education
• Fluent in Dutch, French and English. A basic knowledge of German is a plus
• Standard level of education
• Previous reception and travel booking roles
