Purpose
This role is primarily responsible for the timely issuance of business-to-business invoices for Clinisys clients. It provides full administrative coverage of sales invoicing and general administration related to projects and maintenance contracts.
The role also focuses on delivering positive customer experiences, improving internal processes, and providing administrative support to the Finance Director.
Essential Functions
Sales invoicing
Billing administration (correspondence, contracts, internal administration)
Project administration and follow-up
Management of customer maintenance contracts
After-sales follow-up, including ordering and invoicing
Work effectively with co-workers as part of a team
Provide professional and knowledgeable responses to customer queries
Manage specific projects as required
Skills & Competencies
Strong organizational skills with excellent prioritization ability
High level of accuracy and attention to detail
Clear and effective verbal and written communication
Ability to self-initiate and lead tasks or projects
Strong problem-solving skills, including resolving client issues quickly
Ability to learn and work across multiple software systems
Language skills:
Fluent in Dutch and English (required)
Knowledge of French (Spanish is a plus)
Experience & Education
Bachelor’s degree (or equivalent)
Experience in finance, preferably within a software or healthcare environment
Experience in a similar administrative or billing role

Pricing structures
Internal systems
Sales and billing processes
Location: Ghent, Belgium
Salary: €57,408 - €86,112 (per annum, depending on experience, skills, and qualifications)
This role requires a working knowledge of Artificial Intelligence (AI) technologies and the ability to leverage them to improve processes and outcomes. A core understanding of AI concepts is required and must be able to demonstrate the use of AI tools in a professional setting.
Onboarding
As part of our onboarding process, all new employees will be required to attend / travel to the office on their first day of employment. This requirement is essential for onboarding activities, including the identity verification, completion of necessary documentation, receiving your IT equipment, introductions to key team members, and orientation to Clinisys policies and procedures.
