Purpose (of the role):
Job Summary:
We are seeking an experienced and highly organized Facility Manager with experience in managing multiple office locations within a mid-sized organization. The ideal candidate will be responsible for facility operations, maintenance, vendor management, health & safety compliance, space utilization, employee support services across multiple sites in India.
· Essential Functions / Job Responsibilities
Facility & Infrastructure Management
Oversee day-to-day facility operations across multiple office locations.
Ensure smooth functioning of workplace infrastructure, utilities, housekeeping, maintenance, and office services.
Develop and implement facility management policies, processes, and best practices.
Plan and manage office expansion, relocation, renovation, and workspace optimization projects.
Manage all indoor and outdoor office functions, including workspace operations, office maintenance, landscaping, parking management, building exterior upkeep, employee events, and overall workplace environment.
Maintain high standards of workplace safety, operational efficiency, and employee satisfaction.
Security Management
Lead physical security operations across all facilities.
Manage security service providers and ensure adherence to security protocols.
Implement access control systems, visitor management procedures, and emergency response plans.
Conduct regular security audits, risk assessments, and incident investigations.
Coordinate with local authorities and law enforcement agencies when required.
Vendor & Contract Management
Identify, onboard, and manage facility-related vendors and service providers.
Negotiate contracts, service level agreements (SLAs), and vendor pricing.
Conduct regular vendor performance reviews and ensure adherence to contractual commitments.
Manage housekeeping, cafeteria, security, transportation, pest control, and maintenance service providers.
Health, Safety & Compliance
Ensure compliance with local, state, and national regulations related to workplace safety and facility management.
Conduct facility audits and maintain statutory records and documentation.
Coordinate fire safety inspections, emergency evacuation drills, and safety training programs.
Implement workplace safety standards and risk mitigation measures.
Space & Workplace Management
Optimize office space utilization and seating arrangements.
Support office expansion, relocation, and workplace redesign initiatives.
Manage meeting room infrastructure and office amenities.
Ensure a clean, organized, and employee-friendly work environment.
Cafeteria & Employee Services
Oversee cafeteria and food service operations across multiple locations.
Ensure quality, hygiene, food safety, and vendor compliance standards are maintained.
Monitor service levels, employee feedback, and vendor performance.
Manage employee amenities and workplace experience initiatives.
International & Domestic Travel Management
Manage end-to-end travel operations for employees and leadership teams.
Coordinate international travel requirements including visas, travel insurance, accommodation, transportation, and vendor management.
Establish and monitor travel policies and ensure cost optimization.
Handle travel-related escalations and emergency support.
Budget & Cost Management
Develop and manage annual facility budgets.
Monitor operational expenses and identify cost-saving opportunities.
Process facility-related invoices and maintain budgetary controls.
Track facility expenditures and prepare periodic management reports.
Stakeholder Management
Act as the primary point of contact for facility-related concerns from employees and leadership.
Partner with HR, IT, Finance, and Administration teams to support organizational needs.
Ensure timely resolution of employee facility requests and service tickets.

Strong knowledge of facility operations and building management systems.
Vendor management and contract negotiation skills.
Understanding of workplace safety, statutory compliance, and risk management.
Budget planning and cost control expertise.
Excellent problem-solving and decision-making abilities.
Strong communication and stakeholder management skills.
Proficiency in MS Office Suite and facility management tools.
Ability to manage multiple priorities in a fast-paced environment.
· Required Experience & Education
Bachelor's degree in Facilities Management, Engineering, Business Administration, or a related field.
Additional certifications in Facility Management, Health & Safety, Security Management, or Project Management will be preferred.
· Preferred Experience & Education
15- 20 years of experience in Facility Management, Workplace Services, Administration, or a related function.
Proven experience managing multiple office locations in a mid-sized or large organization.
Experience managing corporate offices with 200-800 employees preferred.
Experience working in IT, technology or corporate office environments is desirable.
